The Township Clerk's office performs a wide range of functions:
we serve the public by compiling and providing access to a wide
range of information, but we also serve the Township Board, the
administration staff, and other departments by managing elections,
processing and storing all official records, as well as providing
finance, payroll and benefits administration in coordination with
the Treasurer's office.
The Clerk's office is the official keeper of all official Township
documents and the Clerk is also responsible for signing most official
Township documents. Our office also maintains complete files of
all meetings of the Township Board and its Commissions. Additionally,
all bids, summons, lawsuits and legal documents, ordinances, applications
and many other types of official documents are forwarded to our
office for processing and filing. All records of the Township, except
those which have some confidential character, are public records
placed under the supervision of the Clerk and are open to inspection
at reasonable times. For instance, all requests for documents under
the Freedom of Information Act are processed by the Clerk's Office.
The Clerk also administers the Oath of Office to all new Commission/Committee
members, election officials, and Township Board members, as well
as to Police Officers and new staff members under the Clerk's supervision.
We also provide public notary service to residents at no charge.
The process of running elections is becoming increasingly specialized
and automated, and we are expecting to go on-line with the State
of Michigan's Qualified Voter File before the end of this year.
Our office registers all Grosse Ile residents to vote and recent
changes regarding the tabulation of election results have led to
the streamlining of this process. At the end of each election, the
Clerk's Office must tabulate and reconcile all election results
and report them to the proper authorities. Tests are conducted on
the election program and machines to detect any errors in the program,
thus guaranteeing accuracy for each election. The Township Clerk hires and supervises
election inspectors during elections. Prior to each election, the
Clerk's office provides a training session for every election inspector
to attend. This training is intended to maintain a high level of
understanding and awareness of the constantly changing election
laws and to ensure for a successful election process every time.
Finally, the Clerk's office verifies and validates all petitions
and verifies all absentee ballot signatures with the original registration.
